Terms, Privacy & Admission Protocol

1. Admission Protocol & Spatial Care

Because each gathering is curated for limited groups (typically 8–18 guests), every seat is tied directly to the atmosphere of the room.

• Punctuality: Doors open 15 minutes before the session starts. To preserve the flow and opening ritual, late entry beyond 15 minutes from the scheduled start may be restricted.
• Atmosphere & Presence: We invite guests to keep mobile devices on silent mode to maintain a tactile, immersive environment for all present.
• Admit One: Each digital QR pass is unique to the registered patron and valid for single entry.

2. Reservations, Holds & Cancellation Policy

To prevent ticket hoarding and ensure fair access, reservations follow an automated hold protocol:

• Transfers: If you are unable to attend, you may transfer your confirmed pass to a friend up to 24 hours prior to the event by contacting concierge via WhatsApp or email.
• Cancellations & Refunds: Cancellations requested 72+ hours prior to the session receive a 100% credit toward any future gathering. Cancellations within 48 hours are non-refundable due to curated culinary and material preparation.
• Curator Postponement: If a session is rescheduled by the curator, guests receive the option of immediate full refund or priority transfer to the new date.

3. Privacy Policy & Data Rights (DPDP Act / GDPR)

Ekta's Gatherings adheres strictly to the Digital Personal Data Protection (DPDP) Act 2023 and EU GDPR principles. We respect your privacy and never sell or monetize patron data.

• Data Collected: Name, email address, contact number, dietary preferences (where volunteered), and booking transaction history.
• Payment Security: Payment information is processed directly by PCI-DSS Level 1 compliant gateways (Razorpay). No credit card numbers or UPI PINs are ever stored on our servers.
• Right to Access & Erasure: Patrons may request a complete export of their booking and engagement history or exercise the Right to be Forgotten at any time through our verified Data Subject Request pipeline.

4. Photography & Memory Galleries

We capture gentle, unobtrusive documentary photographs of gatherings to share in private post-experience memory galleries for attendees.

• Private memory galleries are accessible only to verified attendees of that specific session via signed token links.
• If you prefer not to appear in any imagery, simply notify the curator upon arrival and we will ensure you are omitted from all published materials.

5. Accessibility & Dietary Care

Hospitality is at the root of everything we build. All teas, small bites, and workshop materials are sourced with allergen safety and sustainable practices in mind.
